The universal Ctrl keys (every Windows app)

KeyActionKeyAction
Ctrl+NNew fileCtrl+OOpen
Ctrl+SSaveCtrl+PPrint
Ctrl+ZUndoCtrl+YRedo
Ctrl+XCutCtrl+CCopy
Ctrl+VPasteCtrl+ASelect all
Ctrl+FFindCtrl+WClose document/tab
Ctrl+KInsert hyperlinkCtrl+B/I/UBold / italic / underline

Letter logic: X looks like scissors (cut), V is a paste-down arrow, Z takes you back (undo), A = all.

02

Formatting keys (Word especially)

ShortcutAction
Ctrl+B / I / UBold / italic / underline
Ctrl+L / E / R / JAlign Left / cEntre / Right / Justify
Ctrl+1 / Ctrl+2 / Ctrl+5Single / double / 1.5 line spacing
Ctrl+Shift+DDouble underline
Shift+F3Cycle CASE (lower → UPPER → Capitalise)

Memory hooks: C is taken by Copy, so centre borrows E ('cEntre'). Spacing uses the number itself — 1 single, 2 double — and 5 is the odd one for 1.5.

03

Find, replace, go to

  • Ctrl+F — Find (in Word it opens the Navigation pane; in browsers 'find in page').
  • Ctrl+H — Replace in Word/Excel (but History in a browser — a favourite cross-app trap).
  • Ctrl+G and F5 — Go To a page/line in Word.
  • Ctrl+Home / Ctrl+End — jump to the start / end of the document.
04

Undo and friends

  • Ctrl+Z undoes the last action (press again to undo more); Ctrl+Y redoes it.
  • Ctrl+S saves — press often; F12 is Save As (Office).
05

The double-life table (same key, different app)

KeyWord / ExcelBrowserExplorer
Ctrl+HReplaceHistory—
Ctrl+DFont dialog / fill downBookmark—
Ctrl+Shift+N—Incognito windowNew folder
Ctrl+FFind (Navigation pane)Find on pageSearch box
Ctrl+WClose documentClose tabClose window

How the exam uses it: the stem names the app in italics or bold — "in MS Word", "in a web browser". Read that phrase before anything else; it flips half the answers in this topic.

Worked example: "In MS Excel, pressing Ctrl+D will —" → fill down (copy the cell above). The same keys in Word open the Font dialog, and in Chrome they bookmark the page. One key, three lives, and only the stem's app decides.

06

Question types you will see

Each type: how to recognise it, the method step by step, and one question to try.

Type 1very common5 practice Q

Universal Ctrl-key recall

How to spot it:

'Which shortcut pastes / cuts / undoes / selects all?' — the everyday edit keys.

Method
  1. Edit trio: Ctrl+X cut, Ctrl+C copy, Ctrl+V paste; Ctrl+Z undo, Ctrl+Y redo; Ctrl+A select all.

  2. File quartet: Ctrl+N new, Ctrl+O open, Ctrl+S save, Ctrl+P print.

  3. Memory hooks: X = scissors, V = paste-down, Z = back. Eliminate combos using Win or Alt where the stem says Ctrl.

Try this

Which shortcut undoes the last action in almost every Windows program?

Show solution

Ctrl+Z — Z walks you back; Ctrl+Y redoes what you undid.

Type 2very common5 practice Q

Formatting keys (bold, align, spacing, case)

How to spot it:

'Which shortcut justifies text?', 'double line spacing', 'which key makes text bold?', 'Shift+F3 does what?'.

Method
  1. Bold/italic/underline = Ctrl+B/I/U. Alignments = Ctrl+L/E/R/J (LERJ: Left, cEntre, Right, Justify).

  2. Line spacing = the number itself: Ctrl+1 single, Ctrl+2 double, Ctrl+5 = 1.5.

  3. Shift+F3 cycles the case of selected text in Word.

Try this

Which shortcut sets double line spacing on the selected paragraphs in Word?

Show solution

Ctrl+2 — the number is the spacing itself: Ctrl+1 single, Ctrl+2 double, Ctrl+5 = 1.5 lines.

Type 3common3 practice Q

Find / Replace / Go To / navigation

How to spot it:

'Shortcut for Find and Replace', 'jump to the beginning of the document', 'which opens the Go To dialog?'.

Method
  1. Ctrl+F find, Ctrl+H replace (Word/Excel), Ctrl+G or F5 = Go To (Word).

  2. Ctrl+Home jumps to the document start, Ctrl+End to the end.

  3. Cross-app trap: Ctrl+H is Replace in Office but History in browsers.

Try this

Which shortcut opens Find and Replace directly on the Replace tab in MS Word?

Show solution

Ctrl+H — H for 'hunt and swap'. Ctrl+F only finds; F5 or Ctrl+G goes to a page or line.

Type 4common2 practice Q

Trap pairs and reverse recall in Office

How to spot it:

'Ctrl+D in Word does what?' (Font dialog, not duplicate), 'Ctrl+E in Excel vs Word', statements that swap Replace/History or centre/copy.

Method
  1. Ctrl+D: Font dialog in Word, fill-down in Excel, bookmark in browsers — same key, three lives.

  2. Ctrl+E: centre in Word, but 'export' nowhere — in Excel it centres too; beware options inventing actions.

  3. Reverse recall: read the action in the stem, then recall the key, then check which app the stem names.

Try this

In MS Word, pressing Ctrl+D opens the —

Show solution

Font dialog box — not 'duplicate' (that is PowerPoint's Ctrl+D) and not fill-down (that is Excel's).

07

Shortcuts that save time

⚡ L-E-R-J alignment

Left, cEntre, Right, Justify. C is already taken by Copy, so centre borrows the E from cEntre.

Example

Shortcut to centre a heading in Word?

Show solution

Ctrl+E.

⚡ Spacing = the number itself

Ctrl+1 gives single spacing, Ctrl+2 gives double, and Ctrl+5 gives 1.5. Five is the odd one out: read it as 1.5.

Example

Ctrl+5 in Word sets?

Show solution

1.5 line spacing.

08

Mistakes to avoid

Where most students lose marks on this subtopic.

Mistake 01

Using Ctrl+C for centre - Ctrl+C copies; centre is Ctrl+E.

Mistake 02

Thinking Ctrl+D is 'duplicate' in Word - in Word it opens the Font dialog (duplicate is PowerPoint).

Mistake 03

Confusing Ctrl+H: Replace in Word, but History in a web browser.

09

Quick revision

Read this the night before the exam.

  • N-O-S-P: New, Open, Save, Print. X-C-V: cut-copy-paste. Z-Y: undo-redo.

  • Alignment LERJ: Left, cEntre, Right, Justify. Spacing: 1-2-5 = single-double-1.5.

  • Ctrl+F find, Ctrl+H replace (Word) but history (browser). Ctrl+K hyperlink.

  • Ctrl+Home/Ctrl+End = document start/end. F12 = Save As in Office.
